Board of Trustees Meeting

September 13, 2022

Present:                Caringer, Hickman, Jones, Sarver, Starnes

Also Present:      Director Susan Mullen

Absent:                 Calcaterra, Frost, Guebert, Priest

The meeting was called to order at 6:32PM by President Kathleen Jones.

Visitor(s):             None

Correspondence: None

Secretary’s Report: Starnes moved to approve the minutes from August 9, 2022. Hickman seconded. Motion carried unanimously.

Treasurer’s Report:

  1. Bills to be Paid: Caringer moved to approve the payment of $3,443.08 for expenses incurred from August 10-31 and $2,056.65 for expenses incurred from September 1-13. Sarver Seconded. Motion carried unanimously.
  2. City Budget Report: Last month’s report showed that 36% of the budget has been spent, with 33% of the fiscal year completed, leaving a checking account balance of $54,681.92. Starnes moved to approve the report. Hickman seconded. Motion carried unanimously.
  3. Financial Balance Statement: Sarver moved to approve the Library balance report from the previous month. Starnes seconded. Motion carried unanimously.

Librarian’s Report:

Circulation for August 2022 was 4% greater than August 2021. The Library currently has 5,201 registered borrowers and 40,756 volumes in its collection. 1,375 patrons used the Online Public Access Catalog (OPAC) from home in August. Website visits in August 2022 totaled 2,271 page views. Director Mullen attended the IHLS Director’s Chat session via Adobe Connect on August 11. The Ice Cream Social with Victrola Music event was well-received on August 26. The Friends of HCL book sale yielded one of the highest totals to date, running from August 20-27. The 2022 Per Capita Grant was received, in the amount of $18,219.20. August marked the 7th year that Susan Mullen has served as Director of the Herrin City Library.

    • The September book sale sponsored by the Friends took in $1,184.05.
    • The next book sale is scheduled for Nov. 19 and 21. (No December sale.)
    • The sale of old library chairs took in $1,025.00
    • Susan’s requests were approved unanimously in the amount of $312.86.
    • The next Friends meeting is scheduled for Nov. 7.
  • History Room (Hickman):

New Business:       

  • The BoT reviewed requirements for the Per Capita Grant.
  • The BoT also reviewed the Library’s Freedom of Information Act policy, per the policy review schedule. Caringer moved to accept the policy as written. Sarver seconded. Motion carried unanimously.
