Board of Trustees Meeting

December 12, 2023

Present: Jones, Maloney, Priest, & Sarver

Also Present: Library Director Susan Mullen

Absent: Frost, Guebert, & Hickman

The meeting was called to order at 6:30 PM by Kathleen Jones.

Visitor(s): None

Correspondence: None

Secretary’s Report: Priest moved to approve the minutes from November 14, 2023. Maloney seconded. Motion carried unanimously.

Treasurer’s Report:

  1. Bills to be Paid: Priest moved to approve the payment of $862.52 for expenses incurred from November 14-30, 2023, and $2,865.04 for expenses incurred from December 1-12, 2023. Sarver seconded. Motion carried unanimously.
  2. City Budget Report: Last month’s report shows that 59% of the budget has been spent, with 58% of the fiscal year completed, leaving a checking account balance of $151,784.17. Sarver moved to approve the report. Maloney seconded. Motion carried unanimously.
  3. Financial Balance Statement: Maloney moved to approve the Library balance report from the previous month. Priest seconded. Motion carried unanimously.

Librarian’s Report:

Circulation for November 2023 was 3%% greater than November 2022. The Library currently has 5,509 registered borrowers and 41,990 volumes in its collection. 1,138 patrons used the Online Public Access Catalog (OPAC) from home in November. Website visits in November totaled 1,154-page views. Director Mullen attended the IHLS Director’s Chat session via Adobe Connect on November 9 & 30, 2023 and Members Matters on November 16, 2023 via ZOOM.  During the month of November, Herrin City Library saluted our veterans with free services.  This program was greatly appreciated and served 14 veterans. On Friday, November 17, 2023, at 2:00 pm and 5:00 pm, Lisa Carnaghi presented, Herrin Memories: Another Slideshow Journey. Staff who are catalogers are currently completing barcoder training or barcoder refresher training required by the IHLS and due by the end of December 2023.

Children’s Librarian’s Report:

The story hour theme for November 2, 2023, was “DINO-vember!” What the Dinosaurs Did Last Night by Refe & Susan Tuma, Crunch the Shy Dinosaur by Cirocco Dunlap & Dinopets by Lynn Plourde were read. There were 10 children and 7 parents in attendance. 

The story hour theme for November 16, 2023, was “Thanksgiving.” Gus, the Pilgrim Turkey by Teresa Bateman & Thanksgiving in the Woods by Phyllis Alsdurf were read. There were 6 children and 5 parents in attendance.

Old Business:

  • Trustee Recommendations: Ashley Watson was recommended & accepted for the Library Board of Trustees. The Bot is seeking one more trustee. 

New Business:       

  • The BoT discussed a replacement to fill the secretary position. The secretary position needs filled for the remainder of the Fiscal Year.
  • The BoT reviewed and discussed for the PerCapita Grant: Serving Our Public 4.0, Chapters 11-appendices.
  • The BoT reviewed the PLAW Act and approved a new PLAW policy. Priest moved to approve and Maloney seconded.
  • The BoT reviewed moving money back to working cash. Maloney motioned to move $75,000 back to Working Cash in our Savings Account from our Checking Account. Priest seconded.
  • Any other new business:

Adjournment: Maloney moved to adjourn at 7: 10 PM.
