Board of Trustees Meeting

June 13, 2023

Present: Hickman, Jones, Maloney, Priest, Sarver

Also Present: Library Director Susan Mullen

Absent: Calcaterra, Caringer, Frost, Guebert

The meeting was called to order at 6:27 PM by Jones.

Correspondence: None

Secretary’s Report: Priest moved to approve the minutes from May 9, 2023. Maloney seconded. Motion carried unanimously.

Treasurer’s Report:

  1. Bills to be Paid: Sarver moved to approve the payment of $2,978.27 for expenses incurred from May 10-31 and $2,765.80 for expenses incurred from June 1-13. Maloney seconded. Motion carried unanimously.
  2. City Budget Report: Last month’s report shows that 10.6% of the budget has been spent, with 8.3% of the fiscal year completed, leaving a checking account balance of $77,994.91. Priest moved to approve the report. Maloney seconded. Motion carried unanimously.
  3. Financial Balance Statement: Maloney moved to approve the Library balance report from the previous month. Priest seconded. Motion carried unanimously.

Librarian’s Report:

Circulation for May 2023 was 23% greater than May 2022. The Library currently has 5,402 registered borrowers and 42,170 volumes in its collection. 1,324 patrons used the Online Public Access Catalog (OPAC) from home in May. Website visits in May totaled 1,939 page views. Director Mullen attended the IHLS Director’s Chat session via Adobe Connect on May 11. The HCL hosted two screenings of The History of Herrin, which was produced to commemorate the City’s centennial in 2000. The film showing was very well attended. On Friday, June 16, the Library will host a presentation and book signing by author Harry Spiller, who will discuss his book series Murder in the Heartland. The Herrin History Room will house the Herrin Festa poster contest entries next year. Summer Reading kicks off on Thursday June 8 with our “Dig Into Reading” grand opening. The Friends of HCL will host a book sale on Saturday June 24 and Monday June 26.

Children’s Librarian’s Report:

The story hour theme for May 4 was “Flowers!” Rooting for You by Susan Hood and The Dandelion Seed’s Big Dream by Joseph Anthony were read to eight children and eight parents. Children crafted flowers using paper and paints.

The story hour theme for May 18 was “Garden.” Harvey the Gardener by Lars Klinting, Jack’s Garden by Henry Cole, and How Groundhog’s Garden Grew by Lynn Cherry were read to six children and seven parents. Children crafted their own paper plate gardens.

Summer reading logs, themed books for checkout, and several fun activities are currently located in the Children’s section of the Library.

  • Friends Liaison (Maloney): Friends paid $232.45 for the June Library Wishlist.

Old Business:

  • The BoT continued review of the new grievance procedure. Priest motioned to approve and Maloney seconded. The new Grievance Policy was unanimously approved.

New Business:       

  • The BoT reviewed IPLAR.
  • The BoT discussed continued participation in the Non-resident Library Card Program. BoT voted to continue participation in the Non-resident Card Program at the same rate of $55.00.
  • The BoT reviewed the FY24 ILLINET/OCLC Service Program Agreement.

Adjournment: Maloney moved to adjourn at 7:02 PM.
