Board of Trustees Meeting
May 11, 2021
Present: Calcaterra, Caringer, Frost, Jones, Priest, Starnes
Also Present: Director Susan Mullen
Absent: Guebert,Hickman, Sarver
The meeting was called to order at 6:25 PM by President Kathleen Jones.
Visitor(s): None
Correspondence: None
Secretary’s Report: Starnes moved to approve the minutes from April 2021. Priest seconded. Motion carried unanimously.
Treasurer’s Report:
- Bills to be Paid: Priest moved to approve the payment of $1,642.72 for expenses incurred during the 2nd half of the previous month and $5,698.27 for expenses incurred this month to date. Caringer seconded. Motion carried unanimously.
- City Budget Report: Last month’s report showed that 99.8% of the budget has been spent, with 100% of the fiscal year completed, leaving a checking account balance of $118,806.79. Starnes moved to approve the report. Jones seconded. Motion carried unanimously.
- Financial Balance Statement: Starnes moved to approve the Library balance report from the previous month. Frost seconded. Motion carried unanimously.
Librarian’s Report: Circulation for April 2021 was 26% lower than pre-pandemic circulation from April 2019. The Library currently has 4,897 registered borrowers and 39,391 volumes in its collection. Website data from April 2021 shows 1,462 page views. Director Mullen attended five IHLS Director’s Chat sessions in April. The in-person Summer Reading Program grand opening is Thursday, June 3rd; health and safety guidelines will be followed. Mullen is preparing the Illinois Public Library Annual Report (IPLAR) due on June 30, 2021.
Committee Reports:
- Building and Grounds (Priest, Jones): No report.
- Community Enrichment (Sarver): No report.
- Library Development and Technology (Caringer): No report.
- Special Gifts Committee (Guebert, Frost): No report.
- Friends Liaison (Starnes): Friends of the Library earned $1,241.75 during this year’s book sale, more than double typical earnings.
- History Room (Hickman): No report.
Old Business: None
New Business:
- Review and update meeting room policy and student library cards / cards for kids policy.
- Meeting room policy amended to include the Study Room. Calcaterra moved to approve the policy, Starnes seconded. Motion carried unanimously.
- Student card policy extended throughout the summer by including the additional wording “through August 11th.” And policy scope was amended with the wording “may be issued” rather than “will be issued.” Priest moved to approve the amended policy, Frost seconded. Motion carried unanimously.
Adjournment: Starnes moved to adjourn at 6:54 PM.
