Board of Trustees Meeting

May 9, 2023

Present: Frost, Guebert, Maloney, Priest, Sarver

Also Present: Library Director Susan Mullen

Absent: Calcaterra, Caringer, Hickman, Jones

The meeting was called to order at 6:31 PM by Vice President Steve Priest.

Visitor(s): None

Correspondence: None

Secretary’s Report: Guebertmoved to approve the minutes from April 11, 2023. Frost seconded. Motion carried unanimously.

Treasurer’s Report:

  1. Bills to be Paid: Guebert moved to approve the payment of $2,959.15 for expenses incurred from April 12-30 and $4,361.24 for expenses incurred from May 1-9. Maloney seconded. Motion carried unanimously.
  2. City Budget Report: Last month’s report showed that 95.3% of the budget has been spent, with 100% of the fiscal year completed, leaving a checking account balance of $111,317.97. Frost moved to approve the report.  Sarver seconded. Motion carried unanimously.
  3. Financial Balance Statement: Frost moved to approve the Library balance report from the previous month. Sarver seconded. Motion carried unanimously.

Librarian’s Report:

Circulation for April 2023 was 16% greater than April 2022. The Library currently has 5,375 registered borrowers and 41,947 volumes in its collection. 1,312 patrons used the Online Public Access Catalog (OPAC) from home in April. Website visits in April totaled 1,628 page views. Director Mullen attended the IHLS Director’s Chat sessions via Adobe Connect on April 13. The HCL hosted two story hours and hosted Brian Alvis for his discussion of Bootleggers. On Friday, May 26, the HCL will present a viewing of The History of Herrin – a movie for Herrin Festa. An art showing by Patty Mullen is open through April and May. The Friends of HCL Open House was Sunday, April 30. We had our largest attendance ever with 106 people!

Children’s Librarian’s Report:

Story hour theme Easter: April 6, 2023. Seven children and seven adults attended.

Story hour theme Spring Has Sprung: April 20, 2023. Four children and five adults attended.

  • Friends Liaison (Maloney): New Officers: President Charlotte Delaney, Vice President Sue Cravens, Secretary Bonnie Franklin, Treasurer Cathy Brandon. Membership: 84 members, Library request: $1,544.93. Next meeting: June.

  • Building and Grounds (Priest, Jones): No report
  • Community Enrichment (Sarver): No report
  • Library Development and Technology (Caringer): No report
  • Special Gifts Committee (Guebert, Frost): No report

Old Business:

  • None

New Business:       

  • The BoT reviewed the Employee Benefits Package and Contract, to include an addition of a grievance procedure for Library staff. BOT will gather more information and tabled until next meeting.
  • Director Mullen asked for volunteer FOIA and OMA designees from members of the BoT. Priest and Mullen are the OMA designees and Maloney and Mullen are the FOIA officers for the new fiscal year.
