Board of Trustees Meeting

November 9, 2021

Present:                Calcaterra, Hickman, Jones, Priest, Sarver, & Starnes

Absent:                 Caringer, Frost, & Guebert,

The meeting was called to order at 6:28 p.m. by President Kathleen Jones.

Visitor(s):             None

Correspondence: None

Secretary’s Report: Priest moved to approve the minutes from October 2021. Calcaterra seconded. Motion carried unanimously.

Treasurer’s Report:

  1. Bills to be Paid: Starnes moved to approve the payment of $3,810.77 for expenses incurred from October 13-31 and $3,001.90 for expenses incurred this month to date. Priest seconded. Motion carried unanimously.
  2. City Budget Report: Last month’s report showed that 50% of the budget has been spent, with 50% of the fiscal year completed, leaving a checking account balance of $174,592.76. Priest moved to approve the report. Hickman seconded. Motion carried unanimously.
  3. Financial Balance Statement: Starnes moved to approve the library balance report from the previous month. Sarver seconded. Motion carried unanimously.

Librarian’s Report:

Circulation for October 2021 was 9% greater than October 2020 and 12% less than October averages. The Library currently has 5,003 registered borrowers and 39,997 volumes in its collection. 1,422 patrons used the Online Public Access Catalog (OPAC) from home in October. Website data from October 2021 reports 2,491 page views. Director Mullen attended three IHLS Director’s Chat sessions as well as the Members Matter meeting, all via Zoom. Mullen reported that the Illinois Heartland Library System has a new app, which can be accessed on Facebook and on the Herrin City Library website. Also, the library has re-scheduled a presentation by Sean Burns called “Meet Sean Burns”; it will take place at 2 p.m. on Dec. 17.

  • The Friends will sponsor book sales on Saturday, Nov. 13, and Monday through Friday, Nov. 15-19.
  • Director Mullen’s requests for supplies ($247.42) were all approved.

Old Business:

  • Mullen led a review of Chapters 6-10 of Serving Our Public for per capita grant. She noted that Herrin City Library is meeting or exceeding most of the directives stipulated in Serving Our Public.
  • Mullen informed the board that a new girl has been employed at the library.

New Business:       

  • Library tax levies were reviewed. Sarver moved to approve the levies; Calcaterra seconded. The motion carried unanimously.
  • Calcaterra moved to approve 2022 library holidays; Priest seconded. The motion carried unanimously.
  • The annual review of meeting minutes was scheduled for the December board meeting.
  • It was decided that there will not be a library Christmas party this year.
